Document numbering and print templates

How your invoice number looks, and how the invoice itself looks on paper. Both are set once and reviewed with each new year.

Document numbering

From Settings → Document numbering. Each document type has a row with its format, reset, counter per branch, and a live example of the resulting number.

The default sales invoice format INV-{yy}-{branch}-{000000} produces INV-26-MAIN-000017. Receipts use RCV-, payments PAY-, purchase invoices PINV-, fund transfers TRF-, and so on. Change the prefix as you like and keep the counter.

Reset

Every year: the counter returns to 1 with the first document of the new year, the usual choice for invoices. Never: a continuous sequence across years, suitable for items and parties.

Counter per branch

When on, each branch gets its own sequence, so two branches can have INV-26-RAM-000001 and INV-26-NAB-000001 at the same time. When off, branches share one counter.

The number is given at posting only

A draft has no number. The number is taken at the moment of posting with no gaps, so deleting ten drafts leaves no gap in the invoice register. For that reason, never promise a customer an invoice number before posting. Read Posting and cancelling.

Cashier invoices

The app gives the invoice a temporary number on the device, and the server assigns its final number from this sequence when it arrives. Details in Offline selling.

From Settings → Print templates. Two kinds of documents:

  • Thermal for the cashier and the restaurant: invoice receipt, receipt voucher slip, return slip, kitchen ticket, table bill, restaurant payment receipt. Designed in the designer and printed from the app on 80mm and 58mm printers.
  • PDF for panel documents: sales invoice, quotation, order, return, purchase invoice, receipt and payment vouchers, transfer, deposit, stock transfer, adjustment, count, journal entry, account statement. Printed A4 or A5 from the print button on the document.

Sizes, languages and the default

The table filters by document type, size (80mm, 58mm, A4, A5, custom) and language. Each language has its own template: Arabic and English (and Hebrew for those who need it), because the page direction and fixed labels differ. For every combination (type + size + language) one template is the default and is chosen automatically. In the app the print language follows the device language; in the panel you choose it in the print options.

Editing and duplicating

  1. Click a template to open it in the designer. Blocks are stacked in order: logo, store header, tax info, document title, document meta, the items table with its columns, totals, payment method, QR, barcode, divider, spacer, footer note.
  2. Each block has properties: size, alignment, width and visibility. The items table lets you choose the columns and each column's width.
  3. The Duplicate button creates a copy to edit without touching the default, and you make it the default once you are happy with it.

Thermal printing in Arabic

Thermal templates are rendered as an image on the device and then sent to the printer, so Arabic prints with its connected letters on any ESC/POS printer regardless of its built-in fonts. Pick an Arabic font in the template and leave it in image mode. The cashier side is in Printing.

Variables (store name, invoice number, customer name, totals, tax number) are filled at print time from the document and from the company details, so any change in company details appears on every future printout.

Frequently asked questions

Can I start numbering from a specific number to continue my old register?

The format controls the shape, not the starting point. If you need a different start, contact support before the first posting.

The printer prints symbols instead of Arabic

Make sure the template is in image mode, not text mode, and that the template size matches the printer width (80mm or 58mm).

Does every branch need its own templates?

No. One template serves the company, and the branch details (its name and tax number if different) are filled from the branch that issued the document.
