Ten minutes at the end of the day and half an hour at the end of the month keep your books right and your shop under control. Here is the list, in order.

Every day, before closing

  1. Close all shifts and record the counted cash for each. An open shift blocks the cashier from opening a new one tomorrow, and the difference is posted automatically. See Counting and closing.
  2. Hand over the cash with a transfer from the shift cashbox to the main safe or the bank, so the cashier's cashbox balance keeps matching the drawer. See Cash handover.
  3. Check pending sync on every cashier device: an unresolved rejected invoice means goods left with no record. See Pending and rejected.
  4. Review drafts in sales invoices, purchase invoices and vouchers: an invoice forgotten as a draft enters neither the books nor the reports.
  5. Deposit the cheques due today from the Cheques screen sorted by due date.
  6. Look at the dashboard: today's sales, cash, what is due to you, and the "Needs your attention" table.

Tip

The "Shift collections" ready-made report shows what each shift collected by payment method; it is the fastest way to reconcile the drawer and card terminal at the end of the day.

Every week

  1. Follow up cheques: what is late to clear, and what is about to be drawn. The "Due cheques" tab in the cash liquidity report with a one-week horizon.
  2. Review ageing: start with the "Over 90" bucket and call those customers.
  3. Review pending approvals under Home, then Approvals, so your team's invoices are not stuck.
  4. Items below minimum on the dashboard, and prepare purchase orders.

Every month

  1. Reconcile the bank: compare the bank statement with the bank account statement in Sahl, and record any fees or interest that were missed with a payment voucher or an entry.
  2. Produce the VAT report for the month, confirm the "Matches the movement of both tax accounts in the ledger" line is clean, and that every party has a VAT registration number. See VAT report.
  3. Read the income statement: does the profit make sense? A jump in "Stock adjustments" or "Cash differences" deserves a look.
  4. Check stock valuation vs ledger: the difference must be zero.
  5. Run a cycle count for one group or warehouse: create the count, freeze it, count, and post. See Stock counts.
  6. If you trade in foreign currencies, enter the month-end rate, and revalue if your accountant wants a balance sheet at today's rate.
  7. Lock the period once you trust the figures, from Fiscal year and periods; it prevents any later change to a finished month. See Advanced accounting.

Watch out

Do not lock a month that still has a draft invoice or an open shift. After locking, nothing can be posted on a date inside it without reopening.

Every year

  1. Create the next fiscal year before the year ends.
  2. Complete a full stock count and post it.
  3. Once your accountant approves the statements, close the year; the closing entry is written and profit moves to retained earnings.

Frequently asked questions

I forgot to close yesterday's shift. What now?

Close it now from Point of sale, then Shifts, with the cash that was actually counted. Sales are recorded on the shift with their correct dates; closing only records the difference.

Is a full stock count required every month?

No. A cycle count of one group or warehouse each month, and a full count once a year before closing.
