Cashboxes and banks

Every place that holds money is a cashbox in Sahl, each with its own ledger account. Learn the four types, why "Default for" matters, and how a cashbox is tied to a cashier.

A cashbox in Sahl is any place that holds cash or its equivalent: the cashier drawer, the shop safe, the bank account, the card account, or an e-wallet. The screen lives under Home, Cashboxes and banks, because it is a daily reference rather than a one-time setting.

Each cashbox has one currency. If you take shekels and dollars, create two cashboxes. Every cashbox gets its own ledger account when it is created, so its book balance is the balance of that account.

Steps: create a cashbox

  1. Open Home, Cashboxes and banks and click New cashbox/bank.
  2. Enter the Name. The Code is generated if left blank (for example CSH-01).
  3. Choose the Type and Currency, and the Branch if the cashbox belongs to one branch.
  4. For a bank enter the Bank name and Account number.
  5. Set Default for as needed and save.

What "Default for" means

When a user does not pick a cashbox, the system falls back to the default for the matching role and currency:

  • Point of sale: the cashbox for any cashier who has no cashbox set on their user.
  • Receipts and Payments: the cashbox proposed on receipt and payment vouchers.
  • Cards: the settlement account card payments go to, from the register and from vouchers.
  • Deposits: the bank proposed for deposits and for outgoing cheques.

One default per role and currency; when you make a cashbox the default, the flag is removed from the previous one automatically.

What the system creates for you

Company setup creates a "Main cashbox" and a "Card settlement" account in the base currency automatically, so the cashier's first cash sale is never refused. Create more cashboxes only when you want a drawer per cashier or a cashbox per branch.

The cashbox and the cashier

The safest practice is a cashbox per cashier, set on the user record as in Setting up a cashier user. Then the cash receipts of their shift go to their cashbox, their opening float is taken from that cashbox balance, and two shifts can never be open on the same cashbox. See Closing the shift.

You can also restrict a user to certain cashboxes from their scopes, so vouchers only offer those.

Where to see balances

The cash liquidity report in the Reports menu shows each cashbox balance in its currency and in the base currency, with the cheques you hold and the outgoing cheques not yet paid. Moving money between cashboxes is covered in Transfers and deposits.

What happens in the books

Creating a cashbox creates a sub-account under the system account for its type (1100 cash, 1200 banks, 1210 card settlement, 1220 wallets). Every voucher or transfer posts to the cashbox's own account, not the parent, so each drawer keeps an independent balance in the trial balance.

Deactivate instead of deleting

A cashbox with movements cannot be deleted. Clear the Active flag and it disappears from the lists while its movements and balances stay in the reports.

Frequently asked questions

Do I need a cashbox per cashier?

It is recommended. With one cashbox per cashier the expected cash at shift close is computed from that cashier alone, the count difference is posted against them, and two cashiers never mix receipts.

Why was the card line on the voucher refused?

Card payments must go to an account of type "Card settlement". Pick the settlement account or make it the default for cards.

How do I move card amounts to the bank?

With a transfer between cashboxes from the card settlement account to the bank, entering the provider commission so it is posted to bank fees.
