The sale screen: from scan to invoice

Everything on the sale screen: how to add an item by scanning, searching or from quick items, how to edit quantity, price and discount within your limits, and how to pick a customer or hold the invoice.

Screen layout

On tablets and computers the items show on one side and the invoice on the other. On phones the screen splits into two tabs: "Items" and "Invoice". The top bar carries the shop name, the sync button with a counter of unsent documents, "Held orders", "Receipt", "Sales return", "Settings" and "Sign out". Buttons you have no permission for do not appear at all.

Adding an item to the invoice

By scanning

The search field reads "Scan a barcode or search by name". A wired or wireless barcode scanner types straight into this field. From a phone or tablet you open "Scan barcode" with the camera, and you can enable "Keep the camera open (multi scan)" to scan several items in a row. In settings you can turn on "Sound on scan".

The barcode can be the item's own barcode or the barcode of one of its units: scanning the carton barcode adds a line in the "carton" unit at its price, not twelve pieces. Defining units and their barcodes is covered in Barcodes and units.

Scale barcodes

For weighed items the scale prints a 12 or 13 digit label: a prefix of three identical digits (such as 222), then three digits for the item number, then the weight in grams, then a check digit. The app recognises this format automatically: it looks the item up by the first six digits (the prefix and item number together are the item barcode as defined in the panel) and sets the weight as the quantity in kilograms. No setting is needed on the device.

By search and quick items

Type part of the name and results appear from the catalog stored on the device, so search works without internet. The item grid filters by group, and the "All" tab shows everything. The "Quick items" the manager set up appear as prominent tiles for the best sellers; setting them up is in Quick items and promotions.

If the inventory feature is on you see "Stock" on the item card, and the message "This item has zero or negative stock" appears when you add an item that ran out; whether the sale is blocked or allowed is a manager setting ("Sell items with zero stock without blocking").

Unknown barcode

If a scanned barcode matches no item, "No matching item" appears. If you have the permission to define an item from the screen, a "Define item" form opens with the barcode filled in, as in Receipts and defining an item or customer from the screen.

Invoice lines

  • Quantity: tap the line then "Edit quantity". There are also shortcuts for the last item added, shown in the hint: 6+ add, 2- subtract, 4× multiply. Type them in the search field itself.
  • Unit: the line carries its sales unit; change it from "Unit" if the item has more than one.
  • Price: "Edit price" shows only for users with the permission to edit prices during a sale. The app refuses a price below the item's minimum: "Price is below the allowed minimum".
  • Line discount: percent or value, within the "discount limit" set on your account. Exceeding it is refused with "Discount exceeds your allowed limit". If your limit is zero, line discounts do not appear at all.
  • Invoice discount: in the payment window, "Discount" with "Percent" and "Value" modes, under the same limit.

"Promotion discount" is a separate line computed automatically from active promotions; you do not enter it. The final total is rounded for cash according to the "Round the final cash amount" setting if the manager set it, and the rounding shows as a line on the invoice and the receipt.

Customer and price list

The invoice starts as "Cash customer". Press "Pick customer" to search "by name, mobile or code" in the customers stored on the device. Picking a defined customer shows "Balance" and "Limit" if they have a credit limit, and switches prices to their price list if they have one, which overrides the cashier's list. "Remove customer" makes the invoice cash again. For a walk-in customer you can type "Customer name (optional)" and "Mobile (optional)" in the payment window without defining them.

Holding an order

A customer went back to finish shopping? Press "Hold" and the invoice is saved with its lines and customer on the device, and the screen clears for the next customer. Find it under "Held orders" in the top bar with its counter and restore it with one tap. Held orders stay on the device even after the app is closed, are not sent to the server and do not touch stock until they are paid.

Cancelling the current invoice

The cancel button asks "Cancel the current invoice?" and clears the screen. What was not paid was never saved and never reached the server, so it has no effect on sales or stock.

Daily shortcut

Barcode is faster than search, and search is faster than browsing. If an item without a barcode sells often, ask the manager to put it in "Quick items".

Frequently asked questions

Why do I not see the "Edit price" button?

Because your account lacks the "edit price during sale" permission. The manager grants it from the user profile in the panel, and it reaches your device at the next sign-in.

The barcode exists on the item in the panel but the device says "No matching item"

The catalog on the device is a copy refreshed by sync. Press "Sync items" in settings or the sync button in the top bar, then scan again.

Do held orders disappear when the app closes?

No. They are saved in the device database and come back when the sale screen opens.
