Ready-made reports and the report builder

When no ready-made report answers your question, build your own: choose the source, grouping and metrics, run it, save it, and have it emailed to you every morning.

Ready-made reports

The Reports menu in the top bar shows, next to the financial statements, a submenu for each group of ready-made reports: Sales, Purchases, Inventory, Treasury, Accounting. Each report is an item; clicking it opens it in the report builder with its settings preloaded, so you change the period and run it.

Report builder

From Reports, then Report builder. A report has four parts:

  1. Source: sales invoice lines, return lines, purchase lines, stock moves, collections, or journal lines.
  2. Group by (up to 4): for example day or month, item, group, customer, branch, cashier, shift, payment method.
  3. Metrics: document count, quantity, net, tax, gross, cost, profit, margin percentage and others depending on the source.
  4. Filters: branch, warehouse, party, item, item group, manufacturer, currency, salesman, channel, shift, return reason, movement type, account, account type, payment method, cashbox, purpose. Enter a value or an ID.

Add From and To, a Sort (such as quantity descending) and Max rows, then Run. The result is a printable table, and the export button downloads an Excel file with the same columns.

Tip

Start from a ready-made report close to your question and adjust it; easier than building from scratch. "Sales by item" with a group filter and a one-month period covers the most common questions.

Saving and scheduling a report

The Save report button asks for a name and, optionally, Send by email: daily, weekly or monthly, with the day and hour, and the Recipients, one or more email addresses. A scheduled report is sent automatically with the period that fits its frequency.

Saved reports appear under Reports, then My saved reports: each with its name, source, schedule and last sent time, and buttons to Run, Open in builder, Scheduling, and delete. A report marked Shared is visible to everyone with the saved reports permission.

Watch out

A user without the cost permission does not see cost, profit and margin metrics, even in a saved report that contains them. See Roles.

Common questions the builder answers

  • Which cashier sells the most, and at what average ticket? Source sales lines, group by cashier, metrics document count, gross and average ticket.
  • How much did we collect in cash versus card this month? Source collections, group by payment method.
  • Which items did not move? The "Bottom selling items" report.
  • How many returns had no original invoice, and who recorded them? The "Returns without an invoice by user" report. Background in Sales returns.

Frequently asked questions

Can I add a column that is not in the list?

No. Metrics and dimensions are fixed per source. For deeper analysis, export to Excel and continue there.

Why does the scheduled report not arrive by email?

Check the address in "Recipients" and that the report is active in "My saved reports". The "last sent" field tells you when it was last delivered.

What is the difference between ready-made reports and the report builder?

Ready-made reports are predefined definitions opened in the same builder. Any ready-made report can be adjusted and saved under a new name.
